1. Booking & Payment Terms
A non-refundable booking fee of $100 is required to secure your event date. This payment confirms your booking and reflects the time, preparation, and potential bookings declined to reserve your date.
The remaining balance is due no later than 21 days prior to the event date unless otherwise agreed in writing. An invoice will be issued accordingly.
For bookings made within 21 days of the event, full payment is required within 48 hours to secure the booking.
Failure to make payment within the required timeframe may result in cancellation of the booking and forfeiture of any payments made.
2. Cancellations & Rescheduling
All cancellations must be made in writing. The booking fee is strictly non-refundable.
- Cancellations more than 10 days prior to the event may be eligible to transfer payments to a new date, subject to availability and at the discretion of Big Cheesy Snaps.
- Cancellations within 10 days of the event may result in full forfeiture of all payments made.
Where possible, we will work with you to reschedule your event due to unforeseen circumstances, however this is not guaranteed and subject to availability.
3. Services Provided
Big Cheesy Snaps will provide a fully operational photobooth including, Setup and pack down, open air photobooth, backdrop, props and accessories, unlimited prints, an attendant for the duration of the hire time, USB of all your prints. Package inclusions may vary and will be confirmed at the time of booking.
4. Venue, Access & Setup Requirements
The Client is responsible for providing accurate event details including venue name, address and contact information.
The Client must ensure:
· Adequate access for delivery and setup (including details of any stairs to access the venue)
· Suitable parking or loading access (any fines incurred due to lack of access will be the responsibility of the Client)
· A minimum space of approximately 2.2m x 3m and height clearance of 2–3 metres
· Access to a power outlet within 2 metres
Setup typically requires 30–45 minutes prior to the hire period. Pack down requires approximately 30 minutes after the hire period.
Any delays due to restricted access, incorrect details, or venue limitations may reduce the operational hire time.
5. Hire Period
The hire period will be as agreed in the booking confirmation. Service will commence and conclude at the agreed times.
If the event starts late or runs over time, the agreed hire period will still apply unless additional time has been pre-arranged or purchased.
Setup and pack down times do not form part of the operational hire time.
6. Client Responsibilities
The Client is responsible for ensuring a safe and respectful environment for both staff and equipment.
This includes:
- Supervising guests using the photobooth
- Preventing misuse, damage, or unsafe behaviour
- Ensuring children are supervised at all times
Big Cheesy Snaps reserves the right to refuse service to any guest or cease operation if behaviour is deemed unsafe, abusive, or inappropriate.
7. Damage, Loss & Equipment Responsibility
The Client accepts full responsibility for any loss, theft, or damage to equipment caused by guests, venue conditions, or external factors during the hire period.
Any damage must be reported immediately. Repair or replacement costs will be charged accordingly.
8. Termination of Hire
Big Cheesy Snaps reserves the right to immediately terminate services without refund if:
- Staff are subjected to abuse, threatening, or inappropriate behaviour
- Equipment is at risk of damage or has been damaged due to guest conduct
Where possible, we will attempt to resolve the issue with the Client or venue prior to termination.
9. Events Beyond Our Control
Big Cheesy Snaps will not be held liable for failure to attend or perform services due to circumstances beyond our control. These may include, but are not limited to:
- Severe weather conditions
- Traffic delays
- Equipment or vehicle breakdown
- Venue restrictions or access issues
In such cases, liability is limited to a full refund of any payments made.
10. Technical Issues
While every effort is made to ensure reliable service, Big Cheesy Snaps is not responsible for interruptions caused by power outages, venue limitations, or external factors.
In the event of equipment failure, we will make every effort to rectify the issue. If the service cannot be delivered, compensation will be limited to a partial or full refund.
11. Liability & Indemnity
Big Cheesy Snaps accepts no liability for:
- Loss or damage to personal property
- Injury or death of any person using the photobooth, except where caused by proven negligence
The Client agrees to indemnify Big Cheesy Snaps against any claims arising from the use of the photobooth during the hire period.
12. Image Use & Marketing
Unless otherwise agreed in writing, the Client grants Big Cheesy Snaps permission to use images and content captured during the event for marketing and promotional purposes, including social media and website use.
We will always act responsibly and will not use images deemed inappropriate or offensive.
13. Booth Selection & Customisation
Print designs can be selected from our templates and customised with event details. A maximum of two revisions is included. Custom designs must be provided prior to the design deadline (14 days prior to event).
14. Agreement & Acceptance
The Client confirms they have read, understood, and agree to all terms and conditions outlined above.
